2. Information We Collect

We collect the following categories of data when you use the App:

• Account and identity: your User ID (employee number) or email address, name, job role, and assigned plant or area.
• Authentication data: your login credentials and session tokens stored on your device to keep you signed in. On the web, a session is valid for 8 hours, or 7 days if you choose "Remember Me".
• Inspection records you create: checklist results, equipment codes, remarks, inspection dates, and the inspector's name.
• Photos: inspection evidence photos you capture with your camera or select from your photo library. These images may contain embedded metadata (EXIF), such as the time taken and, if enabled on your device, location.
• Device and technical data: app version, device or browser information, IP address, and basic operational logs.
• Preferences: interface settings such as your selected language and layout.

3. Camera and Photo Access (Mobile App)

The mobile app requests access to your device camera and photo library solely so you can attach inspection evidence photos. Access is used only when you actively take or select a photo; we do not access your camera or photos in the background.

You can grant or revoke these permissions at any time in your device settings. If your photos contain location metadata and you prefer not to share it, disable location tagging in your device's camera settings before taking photos.

4. How We Use Your Information

We use your information for the following purposes:

• To provide and operate the App and its inspection workflows.
• To record and manage fire-prevention and safety inspections.
• To authenticate you and keep your account secure.
• For audit, compliance, and quality assurance.
• To provide support and respond to your requests.

5. Legal Basis for Processing

Where required by applicable law, including the EU General Data Protection Regulation (GDPR) and Indonesia's Personal Data Protection Law (UU PDP), we process your personal data on the following bases:

• Performance of your employment relationship or a contract.
• Our legitimate interest in workplace safety and regulatory compliance.
• Your consent, for example when you grant camera or photo access.
• Compliance with our legal obligations.

6. How We Share Information

Your data may be accessed by your employing organization and other companies within the Akebono group, which are responsible for workplace records, and by authorized administrators according to their role.

We share data with service providers that host and operate the App's backend infrastructure, strictly to deliver the service.

We do not sell your personal data, and we do not use third-party advertising or analytics tracking. We may disclose data where required by law or to protect rights, property, and safety.

7. International Data Transfers

Your data is stored and processed on servers located in Karawang, Indonesia. Because the Akebono group operates in several countries, your personal data may be accessed by, or transferred to, authorized Akebono group companies and administrators in other countries where the group operates. Where data is transferred across borders, we take appropriate steps to ensure it remains protected in accordance with applicable law, including the GDPR where relevant.

8. Data Retention

We retain your data only for as long as necessary for the purposes described in this policy. On the web, session tokens expire after 8 hours, or 7 days if "Remember Me" is selected. Inspection records, photos, and account data are retained according to your organization's record-keeping requirements and applicable law, after which they are deleted or anonymized.

9. Data Security

We use technical and organizational measures to protect your data, including encryption in transit (HTTPS/TLS) and role-based access controls that limit who can view or edit records. No method of transmission or storage is completely secure, but we work to protect your information against unauthorized access, alteration, or disclosure.

10. Your Rights

Subject to applicable law, you have the right to access, correct, update, delete, restrict, or object to the processing of your personal data, to withdraw consent, and to request data portability. Because this is a workplace application, some requests may be handled through your employing organization.

11. Account and Data Deletion

Accounts are typically created and managed by your organization's administrators. To request deletion of your account or associated personal data, contact us at info@akebono-astra.co.id or your administrator. We will process the request in accordance with applicable law and your organization's record-keeping obligations.

12. Children's Privacy

The App is a workplace tool intended for authorized employees and is not directed to children. We do not knowingly collect personal data from children.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the App or by other appropriate means, and the "Last updated" date above will be revised.
